PURPOSE OF POSITION
The Immigration Program Coordinator is responsible for overseeing the day-to-day operations of the Immigration Services Program, including case management, legal service coordination, compliance, and program reporting. The Coordinator ensures high-quality, culturally competent services to immigrant clients, while maintaining compliance with funder requirements and legal/ethical standards.
This role serves as a key liaison between clients, legal service providers, internal staff, and external partners to ensure effective service delivery and program outcomes.
Schedule: Part-time, Monday–Thursday 4:00–8:00 PM, with flexible Fridays to support program needs.
RESPONSIBILITIES:
The major responsibility of this position includes, but are not limited to:
Case Management
· Maintain and update electronic and physical files for all immigration cases, ensuring all data is accurate and current.
· Conduct client intake and prevention needs assessments
· Assists applicants with gathering documents such as required evidence for immigration applications, including educational credentials, employment verification, and personal records
· Facilitates referrals, and ensures participants receive high-quality, culturally responsive support.
· Ensure accurate and timely case documentation and file maintenance
· Track critical deadlines, such as expiration dates and filing windows, to ensure continuous legal status for all participants.
· Facilitate onboarding sessions for new program participants to explain travel restrictions, maintenance of status, and program requirements.
Legal Services Coordination
· Coordinate with immigration attorneys and legal service providers
· Track case progress (e.g., TPS, work authorization, adjustment of status, family petitions, etc.)
· Ensure proper documentation and preparation of legal applications
· Maintain strict confidentiality and compliance with legal standards
Reporting & Compliance Monitoring
· Generate regular reports on program metrics, case volume, and processing timelines for senior leadership and funders.
· Monitor program performance against targets and deliverables
· Maintain accurate and timely documentation of all client encounters and services provided.
· Enter client data into required program data systems in accordance with program requirements.
· Track client referrals, follow-up activities, and service outcomes.
· Participate in quality improvement activities and data reporting requirements.
· Ensure compliance with all funding, regulatory, and legal requirements
· Maintain accurate data entry and reporting systems
· Prepare monthly, quarterly, and annual program reports
· Participate in audits, monitoring visits, and corrective action implementation
Communication, Program Collaboration and Team Participation
· Act as a liaison between the program, legal counsel, and program participants to provide status updates and answer procedural questions.
· Participate in team meetings, case conferences, and supervision sessions.
· Work collaboratively with other program staff to ensure coordinated services.
· Participate in training and professional development activities as assigned.
QUALIFICATIONS
· Associate’s in Public Health, in International Relations, Human Resources, Legal Studies, Human Services, or related field (Bachelor’s degree preferred).
· At least 1–2+ years of experience in immigration services, case management, or paralegal work.
· Strong communication, engagement, and client support skills.
· Demonstrated experience working with immigrant communities, particularly underserved communities
· Strong knowledge of U.S. immigration processes and documentation (e.g., TPS, work permits)
· Excellent organizational, documentation, and case tracking skills
· Strong interpersonal and cultural competency skills
· Ability to manage multiple priorities and meet deadlines
· Experience with data systems and reporting tools
· Strong interpersonal and engagement skills.
· Proficiency in case management software and Microsoft Office Suite.
· Ability to handle sensitive, confidential information with discretion.
· Excellent writing and communication skills; including multi-media outlets.
· Knowledge of citywide resources
· Bilingual (Haitian Creole strongly preferred)
· Must pass background check

Compensation: $40,000.00 - $55,000.00 per year
